Description:
Manage the purchasing cycle efficiently and within the budgetary expectations, by preparing requests for quotations, scouting for multiple suppliers, canvassing for quotations, requesting for samples, seeking approval from end-users, facilitating documentary approvals and PO issuance, and monitoring delivery of quality goods.
Perform document control and document management on all purchasing documents prior to processing or forwarding to other departments - checks completeness of data, check accuracy of PO, facilitate issuance of receiving reports, update monitoring sheets, file all purchase orders.
Attend various meetings in aid of coordination on procurement requirements
Coordinate with supervisors and end-users regarding their stock requirements and exact specifications.
Maintain a database of item codes with updated reference prices.
Maintain and update the Vendor Database and Vendor Accreditation Files.
Introduce best practices in procurement such as bid processes, material forecasting & balancing, supplier recognition / awards, payment terms negotiation.
Troubleshoot on procurement transactions with problematic invoices, duplicate billings, etc.
Conduct site visits to existing suppliers - to negotiate on terms and to check on quality compliance.
Conduct area visits or attend trade fairs to seek out and accredit additional suppliers and to negotiate on terms.
Spearhead cost-benefit analysis for substitute materials, new suppliers, etc.
Check with government offices for the requirements prior to placement of Purchase Orders for imported purchases and inspect documentary requirements for imported purchases prior to shipment.
Prepare other reports or conduct other tasks, as may be required by Management.
With at least 5 years’ experience in purchasing - sourcing, vendor relations, negotiations, facilitation of item pick-up, filing and admin works, document management
With a bachelor's degree in any business course
With a valid driver’s license - at least Non-Professional (preferably Professional 1-2-3), and driving for at least 5 years
Very technologically-savvy: Whatsapp, Google Drive, Google Sheets, Excel, Google Calendar - With confident personality and is able to communicate with all types of personalities
