Key Responsibilities:

  • Maintain financial accounts and ensure timely submission of monthly financial/management accounts.
  • Ensure compliance with statutory filing requirements.
  • Liaise with auditors for financial audits and tax agents for tax returns preparation.
  • Implement and ensure adherence to internal controls and SOPs.
  • Monitor and control receivables and cash requirements.
  • Develop and maintain a costing/inventory system.
  • Liaise with local and regional suppliers (including but not limited to Australia and Malaysia) for ordering supplies, negotiating pricing, and coordinating deliveries.
  • Handle insurance matters and improve/implement systems.
  • Apply for business grants using the business grant portal website.
  • Manage corporate secretarial matters and maintain office administrative tasks.
  • Purchase necessary office supplies and ensure the office is well-maintained.
  • Attend to the needs of directors, including responding to WhatsApp messages.
  • Perform other typical duties of an Admin & Finance Manager as assigned.

Requirements:

  • Proficiency in Oracle NetSuite accounting software.
  • Ability to compile a full set of financial accounts and consolidate accounts.
  • Experience in implementing and maintaining internal controls and ensuring SOP compliance.
  • Proficiency in Microsoft Word and Excel.
  • Strong multitasking skills and the ability to work under pressure with tight deadlines.
  • Professional communication skills with internal and external stakeholders.
  • High emotional intelligence when responding to customer queries and complaints.
  • Proactive, adaptable, and possess a “can do” attitude.
  • Meticulous and detail-oriented to ensure accurate and timely delivery orders, inventory systems, and stock forecasts.
