JOB DESCRIPTION:

  • Complete a broad variety of administrative tasks that facilitate the Systems and Operations Manager’s ability to effectively lead the organization including managing the calendar of appointments, composing and preparing correspondence, making travel arrangements, designing and producing complex documents, reports, and presentations;
  • Practice discretion and diplomacy as the role handles highly confidential information;
  • Participates as an adjunct member of the Business Group including assisting in scheduling meetings, drafting agendas, and recording minutes of meetings;
  • Act as a liaison and provide support to the Company’s Partners and other Department Managers. Liaise with relevant departments or officers for information and logistical preparations needed by the Systems and Operations Manager/Partner;
  • Work closely and effectively with the Systems and Operations Manager/Partner to keep him well informed of upcoming commitments and responsibilities
  • Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the Partner/Systems and Operations Manager’s time and office;
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Partner/Systems and Operations Manager including those of a highly confidential and critical nature; demonstrating leadership to maintain credibility, trust, and support; and determine an appropriate course of action, referral or response;
  • Arrange travel and logistics, which may include booking flights, car rental, and hotel accommodations. S/he will also be the first point of contact for completing expense reports after the trip;
  • Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures;
  • Screen and direct phone calls and distribute correspondence;
  • Organize and maintain the office filing system;
  • Other projects and duties as assigned for the overall benefit of the organization.

JOB QUALIFICATIONS:

  • 2- 4 years experience in an administrative role reporting directly to upper management
  • Superb written and verbal communication skills
  • Strong time-management skills and the ability to organize and coordinate multiple projects at once
  • Proficiency in Microsoft Office and other office productivity tools, with an aptitude to learn new software and systems
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
